Executive Assistant – Math Map

Summary:
The Executive Assistant provides administrative support to the Founder of Math Map.

Minimum Qualifications:

  • Minimum of a High School Diploma or GED equivalent
  • 2+ years of proven administrative assistant or office management experience
  • Experience with finance and IT a plus
  • Must be highly organized, accurate, and able to monitor work for quality
  • Must be dependable, follow instructions, and able to improve performance through feedback
  • Must have access to a vehicle/transportation
  • Must be within daily commuting distance of Seven Lakes, NC

Knowledge, Skills, and Abilities:

  • Excellent knowledge of MS Word, Excel, and PowerPoint software programs
  • Ability to read and interpret documents such as safety rules, manuals, financial statements, and written directions
  • Ability to communicate clearly with others and with professionalism
  • Excellent verbal and written communication skills required
  • Ability to learn and work with different technology systems
  • Able to manage multiple tasks and interactions easily
  • Event planning
  • Knowledge of basic arithmetic skills
  • Ability to uphold a strict level of confidentiality
  • Ability to work flexible hours as needed

Essential Functions:

  • Manage email and calendars for the Founder
  • Prepare memos, reports, presentations, and other documents
  • Manage information flow in a timely and accurate manner
  • Manage projects as assigned
  • Prepare for meetings and events
  • Accurately record minutes for meetings
  • Maintain training and conference room calendars
  • Maintain office supplies inventory by checking stock, anticipating needed supplies, placing orders for supplies
  • Make travel and accommodation arrangements
  • Order lunches and coordinate catering as needed
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Attend regular meetings, training events, conferences, and other learning opportunities
  • Collect and submit expense receipts for Founder
  • Communicate and model the Classical Conversations Core Values – Grace, Humility, Integrity, Diligence, and Excellence.
  • Perform other duties as assigned

Physical Demands:

  • Must be able to sit at a desk for extended periods of time
  • Ability to type at a computer 50+ WPM
  • Move/walk in between departments regularly
